Administrative Assistant

Location: Pasadena, CA

Key Responsibilities:

  • Greet incoming visitors, drop-ins, and scheduled appointments.

  • Take phone calls and correspond to emails.

  • Follow up and reach out to prospects via phone, email, and in person.

  • Support marketing efforts such as not limited to social media engagement, social advertising, and website updates.

  • Show the space to guests/visitors and answer their questions.

  • Assist new members with getting signed up and on-boarded.

  • Assist existing members with any immediate needs.

  • Organize, sort, and distribute mail and packages for existing members.

  • Assist with the space as needed to keep it clean, tidy, and presentable. This may include maintaining coffee machines, loading and unloading dishwashers, wiping down counters, etc.

Requirements:

  • Must be friendly!

  • A good communicator and comfortable dealing with customers.

  • Comfortable with providing sales support.

  • Positive, enthusiastic, and able to adapt to fast-changing situations.

  • Personable and not afraid to socialize and communicate with team members and community members.

  • Willingness and eagerness to learn new things, such as new programs, tools, or procedures.

Extras We’d Love:

  • Has a strong belief and/or passion for creating and fostering community.

  • Has previously attended or worked at a coworking spaces, and is familiar with how they operate.

  • Has experience with event planning and execution.
